SharePoint alerts are likely one of the strongest collaboration tools provided because they give SharePoint users the freedom to be notified about things both when and how they want without having to go look to see if something has changed It can also be used to track search results and notify them of an event (such as being assigned a new task, for example) Alerts are set the same way in both WSS and MOSS at the Site, List/Library, and Item level Just look for the Alert Me link on page and item menus For example, setting an alert on an item can be selected from the item menu itself: Once an item is selected, you can set the options on the alert and then indicate the frequency of your notifications, among other things: Now as cool as alerts are, don t go out of control with it unless you really want to get lots of e-mail If you are only concerned with a certain item, set the alert at that level, and then if you decide you re getting too many alerts, delete a few Note that Site Administrators do have the ability to manage and delete alerts for sites, lists, and items (this is not centrally managed)

This chapter covered designing custom reports for many purposes, but an almost unlimited number of features and tools are available in the Access repertoire As you work with report designs and begin to realize how versatile Access can be in presenting information in a variety of ways, you ll gain an even greater appreciation for the program The last remaining piece of information retrieval and presentation involves graphically presenting information in such a way that the viewer can perform analyses and detect trends in the underlying data The next chapter discusses three tools for doing this: the Chart Wizard, the PivotTable Wizard, and the PivotChart Wizard The Chart Wizard helps create charts and graphs from Access table data, which you can edit using the Microsoft Graph applet The PivotTable Wizard helps create spreadsheet-like tables from Access table data that you can edit using Excel The PivotChart Wizard presents a graphical analysis of data in a table, query, or form

harts and graphs enhance the data presented in forms and reports by summarizing the information and illustrating it in easily understood ways With these tools, the reader can analyze trends and make comparisons Access offers a wide variety of chart types including column, bar, line, pie, XY scatter, area, and many others Many of the types can also be shown in three dimensions If you want the chart to reflect the values in the currently displayed record, you can also link the chart to a field in the underlying table or query

When you decide to add a chart to a form or report, you must first understand the purpose of the chart Do you want to point out trends over a period of time or compare the relative values summarized by groups For example, suppose the local police department is interested in the increase or decrease of violent crimes over the last four years This type of chart would involve tabulating the number of crimes reported during each year and displaying the results as a column chart or a line chart The police are also concerned with the crime rates in different areas of the city Such a comparison can be illustrated with a bar or column chart, as well as a pie chart in which each area is represented by a slice of the pie Other decisions that must be made during the planning stage are whether to embed the chart in the form or report or to create a freestanding chart that can be available to more than one form or report If you embed the chart in the form or report, you can link the chart to data in the underlying table or query and the chart then changes for each record If you want the chart to remain the same as you move through records, leave the embedded chart unlinked If you create a chart in another application, such as Excel, you can import the chart to your form or report On the External Data tab s Import group, click the Excel command and specify the source and destination of the data You can also click the Unbound Object Frame command in the Controls group to place the frame in the form or report and then copy the chart to that

This chapter introduced you to the MOSS My Site, personal sites available for all users My Sites are a way in which users can focus information from multiple sites and Microsoft Outlook into a concise one-page site In addition, they provide a personal home page or business card like site for visitors, an excellent tool for truly collaborating between individuals As I ve mentioned, My Sites are great for collaboration; they are also an excellent way to gain user adoption of the system
